Director of Events

Reporting to: Executive Director of Communications

We are seeking a NYC-based Director of Events with strong communication skills and an entrepreneurial spirit to manage and execute the production  of all events under the Clios umbrella. This position will be an integral contributor to the success of  live events across the Clios’ portfolio of programs, including our prestigious judging events, thought leadership and awards shows.

 

Responsibilities:

  • Event Management & Execution: Reporting to the Executive Director of Communications, managing and executing the production of all Clio branded events including awards shows, judging, salon dinners and thought leadership events across the country.
    • Partner with program leads across the Clios organization to lead end-to-end event production, including site research, venue selection, on-site logistics, and post-event wrap-up.
  • Vendor, Venue, & Budget Management: Oversee third-party vendors and freelancers, manage contracts in collaboration with program leads and VP of Finance, and maintain full ownership of event budgets—from creation to reconciliation.
  • Operational Excellence: Ensure accuracy and organization across all event documentation, reporting, and communications, while maintaining compliance with insurance and regulatory requirements.
  • Develop streamlined processes, build vendor and venue databases, identify time and cost saving best practices, etc.
  • Stakeholder & Client Communication: Serve as a key point of contact for internal teams, vendors, and external stakeholders—ensuring timely, professional, and customer-focused communication at all stages of event planning.
  • Travel & Logistics Coordination: Manage all travel arrangements for jurors and staff attending live events, ensuring seamless coordination and high-quality support throughout

 

Strategic and Operational Contribution
  • Able to develop an engagement strategy and work with the sponsorship team to increase overall brand awareness
  • Assist sales team in the successful execution of any on-site sponsorships and delivery of all on-site event sponsor benefits
  • Collaborate internally on new opportunities for live event programming to further the Company’s mission

 

Preferred Qualifications:
    • Project & Event Management Expertise: Proven ability to manage multiple complex workflows simultaneously with strong organizational skills, autonomy, and attention to detail.
    • Strong Budgeting Proficiency: Have a proven track record of executing events at various budgets, comfort with bartering, negotiating costs and executing RFPs.
  • Education & Experience: Bachelor’s degree with at least 5 years of hands-on experience in live events or conference production.
  • Exceptional Communication & Relationship Skills: Confident communicator—both written and verbal—with a talent for building meaningful relationships and presenting to diverse audiences.
  • Agile, Goal-Oriented Mindset:  A self-starter with grit and determination who thrives in fast-paced, entrepreneurial environments and is driven by ambitious goals and deadlines.
  • Travel Flexibility: Willing and able to travel as needed to lead the execution of multiple off-site events throughout the year.

Entertainment Coordinator

Location: Los Angeles, CA (West LA location – in office Tuesdays only)

Reporting to: Director, Clio Entertainment

We’re seeking a highly organized, proactive, and detail-oriented Program Coordinator to support the Clio Entertainment program. You’ll play an essential role in the day-to-day execution and growth of the program—supporting everything from juror recruitment and entry review to event planning and client engagement.

This is a full-time hybrid role based in Los Angeles, CA. Candidates are expected to work from our West LA office on Tuesdays, with the remaining days remote unless otherwise needed for in-person events or meetings.

 

Responsibilities:

  • Support the Director of Clio Entertainment in the management of all aspects of program operations, awards logistics, and event production.
  • Coordinate the development and distribution of marketing materials in collaboration with Clio’s social, PR, and creative teams.
  • Curate and deploy the weekly Clio Entertainment program newsletter in HubSpot.
  • Collaborate with the Growth Marketing team on targeted award submission research and outreach strategies.
  • Research and build relationships with key creatives and industry organizations.
  • Help recruit, schedule, and support jurors throughout the entry review process.
  • Manage judging administration, including communication, scheduling, and cross-team collaboration.
  • Facilitate judging sessions by moderating, managing media, ensuring accuracy of results, and building strong relationships with jurors.
  • In partnership with the Client Relations team, review entry submissions to ensure all required program materials are complete and accurate.
  • Provide direct client support, including answering entry-related questions, recommending categories, and assisting entrants through the submission process.
  • Maintain HubSpot CRM and assist with email marketing and content updates.
  • Contribute to the planning and execution of Clio Entertainment events including judging, networking receptions, and the annual awards show.
  • Represent Clio professionally and enthusiastically in communications with industry contacts and clients.

 

Preferred Qualifications
  • Bachelor’s degree in marketing, communications, media, or related field—or equivalent relevant experience.
  • 1–3 years of professional experience, ideally in entertainment, advertising, events, or marketing.
  • A strong interest in the entertainment industry and creative culture.
  • Extrovert who shows hustle and grit on a daily basis, with a strong determination to hit goals.
  • Thrives in a startup environment and is motivated by the challenge to do things that haven’t been done before.
  • Excellent written and verbal communication skills.
  • Detail-oriented with strong project management skills and the ability to manage multiple workflows simultaneously.
  • Self-starter who is comfortable working independently and collaboratively in a fast-paced, deadline-driven environment.
  • Familiarity with Microsoft Office, Google Workspace, HubSpot (preferred), and other project management tools.
  • Willing to travel occasionally to support off-site events or activations (approximately 1–2 weeks per year).

Responsibilities:

Reporting & Analysis
  • Prepare weekly and monthly financial reports for internal and external use
  • Maintain up-to-date revenue tracking across all business units
  • Provide timely, insightful reporting with quick turnarounds

 

Invoicing & Accounts Receivable
  • Manage the complete invoicing process from creation through payment
  • Ensure timely and accurate invoice generation
  • Reconcile payments and monitor accounts receivable
  • Provide bi-weekly updates on outstanding payments to stakeholders

 

Expense Management, Accounts Payable & Inventory
  • Track and categorize departmental expenses
  • Support monthly forecast updates and account reconciliation
  • Manage inventory tracking and assist in generating new inventory orders
  • Keep all documentation organized and audit-ready

 

Operational Support
  • Work with internal teams, external vendors, and accounting partners
  • Provide financial assistance throughout program lifecycles
  • Help maintain internal discipline to financial systems and workflows
  • Identify opportunities to improve financial systems and processes

 

Preferred Qualifications:
  • 3–5 years of experience in finance, accounting, or operations
  • Proficiency in Xero and Excel/Google Sheets
  • Strong attention to detail and comfort with fast, accurate data handling
  • Clear and effective communication and organizational skills
  • Ability to remain composed and efficient under pressure

 

Bonus If You Have:
  • Experience in creative industries: advertising, entertainment, music, or events

This role spans a wide range of touchpoints—including marketing collateral, websites, social media, email campaigns, and digital display ads. The ideal candidate brings strong creative instincts, attention to detail, and a passion for brand storytelling, while ensuring visual consistency and alignment across all Clio properties.

 

Responsibilities:
  • Collaborate closely with external partners, shared services, and awards vertical teams to conceptualize and design materials that support all phases of the awards programs—from call for entries through winner announcements and award shows.
  • Develop original concepts, gather visual references, curate inspiration, and contribute strategic creative input throughout the design process.
  • Work across departments to refine and execute cohesive creative concepts across call for entries, event materials, social media graphics, thought leadership content, and sales presentations.
  • Develop impactful presentations by synthesizing visual assets, written content, and research insights to highlight key themes and emerging trends.
  • Partner with the managing editor of Muse by Clios to design visual assets that enhance and support key editorial initiatives and storytelling.
  • Develop and maintain a consistent visual identity across all brand materials.
  • Ideate brand concepts, strategies, and design solutions that align with and reinforce brand values and positioning.
  • Maintain internal and external brand resources microsites

 

Preferred qualifications:
  • Minimum 3 years of professional experience in graphic design; agency experience preferred
  • Proficiency in Adobe Creative Suite, especially Photoshop, Illustrator, and InDesign
  • Working knowledge of Premiere Pro and After Effects is a strong plus
  • Solid understanding of typography, layout, and visual composition
  • Exceptional attention to detail and a sharp design eye
  • Ability to adapt design across multiple formats and platforms
  • Strong organizational and time management skills; able to prioritize and multitask effectively
  • Clear and professional communication skills, both written and verbal
  • Comfortable working in a fast-paced environment and meeting tight deadlines
